Exhibition & Trade Show Hospitality

Give People a Reason to Stop

You've invested in the exhibition space, the stand, the team and the opportunity to be there.

Now you need people to stop.

Barmotion provides fully managed exhibition and trade show hospitality across the UK, helping draw visitors onto your stand, create natural opportunities for conversation and give people a reason to spend a little more time with your brand.

The right hospitality depends on your stand, your audience and what you're there to achieve.

Give them a reason to stop. Give your team the opportunity to talk.

Hospitality With a Purpose

Make the Hospitality Work for Your Stand

At an exhibition, hospitality shouldn't simply fill a corner of the stand.
It should have a job to do.

It can give visitors a reason to approach, introduce something they want to watch, try or take part in, and create a natural opportunity for your team to start a conversation.

And once they leave? Branded cups, packaging and other takeaway elements can continue carrying your identity around the exhibition long after they've walked away from the bar.

That's why we start with what you're trying to achieve rather than simply asking what you'd like us to serve.

The objective comes first.
Then we work out how hospitality can support it.

Attract

Give visitors a reason to approach.

Engage

Give them something to order, watch, try or take part in.

Connect

Create a natural opportunity for conversation.

Extend

Let branded hospitality carry your identity beyond the stand.

Coffee Gets People Talking

There's a reason Coffee Bars work so well at exhibitions.

People genuinely want a good coffee. They approach the stand, place an order and wait while the barista prepares their drink. During that time, your team has something incredibly valuable — a natural opportunity to say hello and start a conversation.

No awkward opening line. No immediate sales pitch. Just a genuine reason to be there.

Then the visitor walks away with your branding in their hand.

For larger or high-footfall stands, we can plan the equipment, staffing, stock and number of service points around expected demand, helping the bar keep moving during busy periods.

Good coffee gets people talking.

Think Beyond Coffee

Or Give Them Something They Weren't Expecting

Coffee isn't the only way to get noticed.

A Blender Bike invites guests to take part. Smoothie and Raw Juice Bars bring colour and live preparation onto the stand. Matcha, Bubble Tea and Crush offer something different, while freshly popped Popcorn can get noticed before visitors even reach you.

Ice Cream, Lolly Waffles and other treats can give visitors another reason to come over. And when the exhibition moves towards networking or Happy Hour, Cocktails and Mocktails can change the atmosphere completely.

There isn't one exhibition hospitality service that's right for every exhibition.

Beyond the Stand

Put Your Brand in Their Hand

Your stand branding stays on the stand. Your hospitality doesn't have to.

A visitor picks up their coffee and walks into a meeting. They take a Smoothie into another hall. They carry a box of Popcorn around the exhibition or arrive at their next conversation with your branded cup still in their hand. Your brand goes with them.

Depending on the service, we can carry your identity across cups and sleeves, bar fronts, menus, signage, food packaging, coffee stencils, aprons, uniforms, Blender Bike wheels and other service-specific elements.

We can also take the branding further through bespoke drink names, signature serves, brand-inspired colours and menus developed around your campaign.

Ready for Live Events

Busy Is Good
Being Ready for Busy Is Better

A busy stand is a good problem to have — as long as the hospitality is ready for it.

Behind every bar, we consider expected visitor numbers, peak service periods, service speed, equipment capacity, staffing and stock to make sure the setup is right for the demands of the event.

We also look at the practical details that can easily be overlooked — where queues are likely to form, how much working and storage space is available, and what's required for power, water, waste and refrigeration.

For larger or high-footfall exhibitions, that might mean additional equipment, more staff or multiple service points to keep things moving during the busiest periods.

Plan Ahead

Before the Stand Is Built

This is one of the best times to talk to us.

Commercial Coffee Machines, refrigeration, blenders, juicers and other hospitality equipment all come with practical requirements. Counter dimensions, power, water, waste, storage, cable access and working space can make a significant difference to how well the bar operates once the show opens.

We can coordinate directly with your stand builder, agency or organiser and provide the specifications they need before the stand goes into production.

One Connected Service

Fully Managed Exhibition Hospitality

One Coffee Bar throughout the exhibition might be exactly what you need.

Or you may want Coffee in the morning, Smoothies in the afternoon and Cocktails for Happy Hour. You might need several hospitality points across a large stand, or be an agency coordinating hospitality across multiple stands at the same show.

Barmotion can bring those requirements together, planning the equipment, staffing, stock, branding and event logistics as one connected project.

From planning and preparation through to equipment, ingredients, trained staff, setup, live service and breakdown, we manage the complete hospitality service.

Ahead of the show, we can also coordinate directly with your venue, organiser, agency or stand builder to make sure access, technical requirements, timings and practical details are covered.

One brief. One team. One connected hospitality plan.
You take care of the conversations. We'll take care of the hospitality.

Frequently Asked Questions

Exhibition FAQ’s

What hospitality works best for an exhibition stand?

It depends on your audience, stand, objectives and the type of event. Coffee is an exhibition favourite because it creates a natural reason for visitors to stop and stay while their drink is prepared. Smoothies, Matcha, Raw Juice, Bubble Tea, Blender Bikes, Ice Cream, Popcorn and other options can add colour, interaction or something unexpected. We'll help you work out what fits your event.

Can you brand our exhibition hospitality?

Yes. Depending on the service, branding can include cups, sleeves, bar fronts, menus, signage, packaging, coffee stencils, aprons, uniforms, Blender Bike wheels and other elements. We can also develop bespoke menu names, signature serves and brand-inspired drinks.

Can you work with our exhibition stand builder?

Yes. We regularly work alongside agencies, organisers and stand builders and can provide the technical information required for the hospitality setup, including equipment dimensions, power, water, waste, refrigeration, counter space and storage requirements.

When should we involve Barmotion in the stand design?

Ideally, before the stand design is finalised. Involving us early allows the hospitality equipment and service requirements to be considered as part of the stand rather than fitted around it afterwards.

How much space do you need for an exhibition bar?

That depends on the hospitality service, equipment and expected serving volumes. Once we understand your stand and requirements, we can advise on the working surface, under-counter space, storage, refrigeration and technical requirements needed.

Can you cater for high-footfall exhibition stands?

Yes. We can plan the equipment, staffing, stock and number of service points around anticipated demand and peak periods. For particularly busy stands, we may recommend additional equipment, team members or more than one service point to help maintain service speed.

Can we combine different hospitality services during the exhibition?

Absolutely. You might run Coffee throughout the day, change from Coffee to Cocktails for Happy Hour, or offer different services across different days of a multi-day exhibition. We can plan the hospitality around the flow of the event and manage it as one connected service.
